Early this morning, Information Technologies & Services (ITS) Microsoft Exchange email environment experienced an unexpected disruption in service. As a result, users experienced a delay in receiving messages in their email client and mobile devices.

We experienced two service disruptions on Friday, October 30, between 7:00AM-12:30PM. Service has been completely restored and queued messages should now be delivered to the email client, web interface and mobile device.

The outage was the result of an abnormal interaction between the virus scanner and the Exchange server. ITS is scheduling the necessary maintenance to fix this component.

The Information Technologies & Services (ITS) Department will be performing an upgrade of the Microsoft Systems Management Server (SMS) client to Microsoft System Center Configuration Manager (SCCM) during the following window:

Start: Monday, October 26, 2009
Finish: Friday, November 6, 2009
Time: Nightly, After 7PM

During this upgrade window, the upgraded client will be deployed seamlessly and will only affect users with ITS-supported Windows machines. For these users, please leave your computers on to receive the remote client upgrade.

The Microsoft System Center Configuration Manager (SCCM) is an industry standard software deployment system that ITS has implemented to improve desktop security by automatically installing security patches and software updates to workstations. The previous SMS client automatically installed the security updates and provided users one week to restart their machines for the updates to take effect. With the new SCCM client, users can choose to either install the updates and restart their machines once they receive the notification or schedule it for a more convenient time.

Please be advised that ITS releases the monthly security updates during the second week of every month. From this time, users have one week to install the updates and restart their machines before the Sunday deadline. If the updates are not installed, the updates will be automatically installed on the third Sunday of the month after 5PM. Users then have 24 hours to restart their machines for the updates to take effect before your system is automatically restarted.

For more information on SCCM, please visit the ITS Automated Security Patching service page.

On Thursday, October 22, Microsoft will be releasing its new operating system, Windows 7. Windows 7 is intended to be a more focused, incremental upgrade to the Windows line, with the goal of being fully compatible with applications and hardware with which Windows Vista is already compatible. Windows 7, much like Windows Vista, comes in three different editions for the end-user: Windows 7 Home Premium, Windows 7 Professional, and Windows 7 Ultimate. For more information on Windows 7 and the different editions, please visit: http://www.microsoft.com/windows/windows-7/default.aspx.

ITS is currently in the process of compatibility testing for Windows 7 and ITS-supported applications for Windows. We recommend that users wait until we have certified Windows 7 for these applications and can be fully supported by ITS.

If you are currently a Windows XP user planning to upgrade to Windows 7, Microsoft does not recommend it. Upgrading to Windows 7 from XP requires users to "to back up your current files and settings, perform a custom (clean) installation, and then reinstall your files, settings, and programs." For more information regarding upgrades, please visit http://www.microsoft.com/windows/windows-7/get/upgrade-advisor.aspx

If you are planning to purchase new hardware with Windows 7 installed, make sure that the system meets the minimum requirements outlined by Microsoft: http://www.microsoft.com/windows/windows-7/get/system-requirements.aspx

ITS is diligently working on completing the application certification process to fully support Windows 7. In addition, we are also working on the Microsoft licensing package for WCMC. At this time, we strongly discourage departments from purchasing individual Windows 7 licenses.

Update: The Oracle Calendar User Data Deletion process has been completed. ITS is currently working on upgrading the Calendar service.

The Information Technologies & Services (ITS) Department will be deleting Calendar user and resource data dated prior to June 30, 2007 from the Oracle Calendar server during the following times:

Nightly: 10pm to 6am

Start: Friday, July 10th, 2009

Finish: Friday, July 24th, 2009

Oracle Calendar will be available during these times, but it may be slow to respond. All meetings, day events, daily notes and tasks dated before June 30, 2007 for all Oracle Calendar users and resources will be removed from the server and will no longer be accessible in Oracle Calendar after the data purge. All meetings, day events, daily notes and tasks dated June 30, 2007 or later will not be affected. This maintenance will allow for a future upgrade of the Calendar service. The functionality of the application will not change with this pending upgrade, but maintenance and future down times will be greatly shortened.

ITS will maintain an archive of all calendar entries slated for removal. Due to the volume of this archived data, we strongly suggest that calendar users who wish to access their older calendar entries, backup their data locally and store it on their machine as a text document. Please note that this saved file is a textual listing of your calendar entries and will not be displayed in a calendar as shown below. To archive your user and resource calendar data, please refer to the guides located on our website.

Important Note: As part of this optimization and data export process, all users are required to have Oracle Calendar v10 running on their desktops. For Windows users, the updated calendar client will automatically be sent and installed on your machines. To ensure that the installation is completed successfully, we ask that you close Oracle Calendar and not shutdown your desktops. For Mac users, please visit the Mac OS X Downloads page on the ITS website to install the latest Oracle Calendar client.

This message is being announced on behalf of the NewYork -Presbyterian Hospital Service Desk.

At 3PM today, the ITA.NYP.ORG portal is being upgraded and will impact the following services:

HOSPITALS IMPACTED:
NYP/WC, NYP/WD, NYP/CU, NYP/AP, NYP/CHONY, NYHQ, NYMH and TBHC

SYSTEM(S) AFFECTED:
ITA.NYP.ORG

WHO IS AFFECTED:
Users of the ITA.NYP.ORG Citrix external web interface

WHAT'S BEING DONE:
The existing ITA.NYP.ORG Citrix external web Interface will be replaced with an updated site and client. The new site will have greater functionality and a new look and feel to accommodate the Eclipsys application.

WHY IT'S BEING DONE:
As a prerequisite to the coming weekend's Eclipsys move. It will allow for new functionality in how applications are presented in the web interface and in scanning for security items such as up to date antivirus and windows patches. This move also facilitates replacement of the old server hardware that had been running our current ITA.NYP.ORG solution.

SPECIAL INSTRUCTIONS:
Previously created bookmarks and favorite sites will not be valid with the new address. All users will have to start from http://ita.nyp.org.

Users using the ITA.NYP.ORG from outside the hospital / affiliate networks will be prompted to install a new client to allow access -- follow the prompts to install the new client.

The client will also scan your workstation for an up to date antivirus and minimum patch levels. If you are denied access - verify that your antivirus software is up to date and that you have installed the latest Windows Security Patches from http://update.microsoft.com.

DATE/TIME OF DOWNTIMES:
There will be a 5 min outage -- the switch from the old to the new will happen Thursday, 5/28 at approximately 3:00PM. At that time, the user connections will be dropped. Please save your work. Upon relogin, users will simply be rerouted to the new site.

An outage on Sunday affecting Internet/Internet2 forced us to put temporary measures in place in order to restore these services as quickly as possible. This evening, NYSERNet will be working on the Aggregation switches in New York City to install a permanent configuration during the following window:

Start: Tuesday, May 19, 2009 11:00 PM
Finish: Tuesday, May 19, 2009 11:30 PM

ITS Network and Communication Services Group staff will be working with NYSERNet to ensure there is a minimum interruption to services.
