Broadcast Email Policy
The Information Technologies & Services Department (ITS) provides a broadcast service for sending out emails to the entire Weill Cornell Medical College (WCMC) community. This service is used to inform all WCMC email users of seminars, lectures, grand rounds, and other special events.
Broadcast Policies
- Only WCMC users are permitted to send and receive broadcasts through this system
- All broadcast emails must be submitted to broadcast@med.cornell.edu for consideration
- All broadcast emails must be approved by ITS before they can be distributed
- Upon approval, ITS will broadcast the message one business day after it is received
Requirements:
There are several restrictions and requirements that must be met before any message can be sent out to the institution:
- The message must concern the Weill Cornell Medical College, and it must be sponsored by a department
- The message must be from a valid med.cornell.edu account
- The broadcast subject should be sent by only one person and not be a redirected from another
- The email subject should reflect the Topic/Agenda/Event that is scheduled to occur
- A signature is required from a department personnel that contains a phone number
- Send an exact copy of the message to be broadcast. ITS does not edit the contents of the messages requested to be broadcast. ITS only reviews the contents of the messages to be certain that it meets our requirements. Please do not include any inline notes to ITS such as "please broadcast this message"
- All html links must be functional
- Broadcast messages must be sent one business day prior to the event or program being publicized
Broadcast Don'ts
The following types of messages will not be broadcast:
- Messages concerning events personal, business or promotional in nature
- Students activities (contact the Office of Student Affairs or the Office of the Graduate School)
- Employment (contact Human Resources, x61036)
- Donation Information or IRB Announcements (contact Research and Sponsor Programs office, x10628)
- Departmental moves or meetings
- Equipment/items which are missing or available for taking
- Messages with attachments
- Event reminders sent within 3 business days of the original broadcast
The Cornell University Mass Electronic Mailing Policy, explicitly excludes the Medical College, but many of the standards set in the policy document have been commonly enforced at the Medical College.
